VACANY: ADMINISTRATIVE ASSISTANT (to be based in the Kisumu Office)

KELIN is a non-governmental organization that works on the legal, ethical and human rights concerns relating to health and HIV. KELIN works with different vulnerable populations including women, Orphans and Vulnerable Children (OVC), people living with HIV (PLHIV). We do training on human rights for professionals and offer legal advice to people facing human rights violations. KELIN is now looking for an administrative assistant to provide support to the programmes undertaken in our new Kisumu office.

Responsibilities / Tasks:

The officer will work closely with the Finance and Administration officer and the Regional coordinator cultural structures project and will be required to:

➢ Manage incoming and outgoing telephone calls.
➢ Manage the reception.
➢ Manage incoming and outgoing mail including courier.
➢ Create and maintain an effective filing system.
➢ Deal with correspondence, reports and pleadings including typing and ensuring follow-up.
➢ Offer administrative and budget preparation support to the programme officers based at the Kisumu office
➢ Coordinate provision of utilities and stationery.
➢ Provide financial budgeting and requisitions.
➢ Maintain proper financial records.
➢ Maintain the office petty cash.
➢ Assist in the planning and preparation of meetings, conferences and workshops.
➢ Assist in organizing and arranging staff and official visitor travel and related activities
➢ Oversee service and maintenance of office furniture/equipment.
➢ Maintain efficiency of operations at the office through prompt payment of bills.
➢ Responsible for ensuring a clean working environment for all staff and clients through adequate supervision of office cleaning.

Minimum Qualifications and Attributes:-
➢ At least one year’s experience of working in a non-governmental organisation.
➢ Proficiency in the use of computer packages – Word processing, Excel, Access, PowerPoint and Internet use.
➢ Ability to maintain proper petty cash.
➢ A clear understanding of basic office administration.
➢ Basic knowledge of accounting.
➢ KATC qualifications are an added advantage.
➢ Strong interpersonal communication skills and pleasant personality.
➢ Must be a good team player, highly self motivated and self driven.
