Administrative Assistant Position

KELIN is a human rights NGO working to protect and promote HIV-related human rights in Kenya. We do this by:

  • Pursuing public interest litigationforpeople who have suffered human rights violations – especially people living with HIV or affected by health issues –using KELIN staff and a network of probono lawyers.
  • Training health professionals, lawyers, community workers and people living with HIV about the rights-based approach to providing services and building capacity for implementation.
  • Engaging in advocacy campaigns that promote awareness of human rights issues with government agencies, organizations’ and communities.
  • Researching areas relating to human rights, legal issues and health, influencing new policy and supporting evidence-based change.

Role and Overall Description

The job holder will provide support to the finance and administration department. Thejob requires a flexible approach to managing work load, good communication and interpersonal skills, effective organizational skills, including accuracy and attention to detail. This being a supportive role the incumbent must have proven ability to multi-task and work in a team. Experience with thefull range of Microsoft Office package is essential.

Key responsibilities

  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies;
  • Prepare and process suppliers’ invoices, cheques and contract payments, ensuring efficiency of office operations
  • Ensure purchase orders, receipts and invoices are matched
  • Preparation of suppliers’ statements
  • Source and maintain a pool of qualified service providers
  • Effectively manage telephone calls.
  • Open, sort and distribute incoming correspondences
  • Record, compile, transcribe and distribute  meeting  minutes
  • Ensure a clean working environment for all staff and clients through adequate supervision of office cleaning.
  • Manage the reception area of the office.
  • Prepare weekly plans and submit the same on a timely basis
  • Create and maintain an effective filing system.
  • Ensure operation of equipment by completing preventive requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Contribute to team effort by accomplishing related results as needed.
  • Offer any other administrative support as may be required from time to time.

Support to Program staff

  • Make travel and accommodation arrangements for all staff and partners.
  • Assist in planning and preparation of meetings, conferences and workshops in accordance with relevant budgets.

General

  • To read, understand and comply with all the policies in KELIN.
  • To uphold and ensure compliance with the KELIN core values in the dealings with staff and partners.
  • Assist in and/or carry out other related activities and other tasks, as assigned by the line manager and or the Executive Director.

Required qualifications

  • University degree in Business Administration or any other related field
  • More than two years’ experience in administration and office management preferably in an NGO setting
  • A diploma in business related field shall be an added advantage
  • A good command of both written and spoken English and Kiswahili
  • Experience with Microsoft Office application.
